Web Site Committee

Meeting Minutes -- May 9, 2007

A meeting of the Mountain Lakes Web Site Committee was held on May 09, 2007 at the Mountain Lakes Borough Hall.  In attendance were Chairman Andy Bulfer, Clive Knowles, Nilesh Shringarpure, Mark Watrous, and Borough Council Liaison Steve Shaw.

Activities Since Last Time

(Note there have been only two weeks since the last meeting.)

  • Andy Bulfer prepared a write-up on How the Tourne was Saved and posted it in the History section and on the front page.
  • Mark Watrous updated the Boy Scouts pages.
  • Clive Knowles fixed several bad links on the LWV page.
  • Nilesh Shringarpure made changes to the track site that had been requested by the track coaches.
  • Andy Bulfer put a notice on Notice Board about the bone marrow drive after discussing it with the lady on whose behalf the drive is being done.
  • Mark Watrous analyzed the site error logs as he does every month (see below).
  • Clive Knowles contacted the Town Club about a Web site coordinator (see below).
  • Andy Bulfer worked with Peter Holmberg to get the new Running Club on the Notice Board.
  • Andy Bulfer noticed the front page formatting had mysteriously changed and analyzed the problem.  He determined a long url in a Notice Board notice was causing it.  He fixed it by modifying the Notice Board software to accept off-site "details" links and putting the offending url in such a link.

Old Business

  • Home and School Association -- The HSA has assigned Bernadette McKinney responsibility to complete the development of their Web site based on draft layout and navigation done by Mark Watrous.  Andy Bulfer reported he had been told she is nearly finished but we have not seen anything yet.
  • FAQs -- Steve Shaw reported he has not made much progress so far.
  • Passwords -- Last time, the Committee decided to change the main site password for both FTP and Control Panel access.  Andy Bulfer distributed the new password to the members of the Committee.
  • Requirements for Notice Board Improvements -- At its March meeting, the Committee discussed a list of possible improvements for the Notice Board software.  Andy Bulfer was assigned to write requirements.  Bulfer distributed draft requirements.  The Committee decided to table them until next meeting to give more time to study them.  One requirement involved putting approved Notice Board notices in the Bulletin Board tray at Borough Hall for the bulletin board committee to consider.  Andy Bulfer will contact them to discuss it.
  • Town Club, Swim Club, and MAC -- Clive Knowles reported that he has contacted the Town Club and they have assigned someone to take over from their current Web coordinator who is moving.  Steve Shaw has mentioned to the Swim Club that they need to assign someone too.  Nilesh Shringarpure will contact MAC and be responsible if MAC chooses to have the Web Committee to maintain their site.
  • Leech Web Sites -- The memo to the Borough Council explaining the issue and our concerns has not yet been drafted.
  • Broadcast E-mail System -- The Committee discussed the presentation to the Borough Council scheduled for June 11.  Nilesh Shringarpure and Andy Bulfer will be the speakers.  The total time of the presentation will be ten minutes.  Steve Shaw said the handout must be submitted to the Borough Clerk by June 7.  It was decided that a draft of each speaker's handout will be distributed to the entire Committee for comment by June 1.
  • Error Log Analysis -- Mark Watrous pointed out several remaining broken links based on his analysis of the site's error logs.  The Committee had previously thought all broken links had been found and corrected.  Andy Bulfer will look into it.

No Progress

  • Search Engine -- The Committee would still like a Search Engine on the front page.  We had one with the previous server.  One of the things that makes it difficult is a self-imposed requirement that the schools site (mtlakes.org) be included in the search results. 
  • Monthly Traffic Report -- Each Committee member currently receives a daily e-mail report on traffic handled by the Web site on the previous day.  However, we would like the daily statistics rolled up into a monthly traffic report that could be distributed to a wider audience.

New Business

  • Oversize Notice Board Announcements -- The size of Notice Board announcements has been drifting upwards.  The original concept had been that notices would be short, e.g. a sentence or two, but the entry page instructions do not set any limits.  Andy Bulfer showed a recent example by an important town organization that he felt was too large and he said he was reluctant to approve it.  The Committee authorized Bulfer to rewrite it with a link to the organization's Web page.  (After the meeting, Bulfer contacted the submitter who voluntarily submitted a shortened version.  Bulfer approved it after deleting the original one.) The Committee also suggested that the instructions be modified to urge that notices be brief.

Date for Next Meeting

The next regular meeting will be on Wed June 13, 2007 at Borough Hall.
