WEB COMMITTEE NOTES
SEPTEMBER 20, 2000
BOROUGH HALL
PRESENT: Andy Bulfer, Emily Wolfe, Gayle Joseph, Blair Wilson, Council Liaison
OBJECTIVES OF THE WEB SITE: Andy handed out a sheet for discussion on the possible web site objectives. The committee discussed dividing the items into short term and long term goals. The Web Site objectives are listed below with notes from the committee discussion.
- Deliver information that Mountain Lakes residents need:
- Possible short-term goal, important for better communication between Borough Hall and residents.
- Items to be added; Calendar—to be updated on a regular basis, large trash days, sport sign-up information could be under Recreation Commission information.
- Build site to be able to sustain interactive/dynamic/changing information.
- Have process in place for regular maintenance and updating.
- Time sensitive/maintenance items to be handled by Borough employee(s) (The employees could be trained with other holders of passwords to learn the process of getting information on to the site.)
- Committee to meet with employees to have say in web construction and for future updating
- Committee to meet with Board of Education to discuss what residents want to see on the web site
- Individual passwords
- We have 15 log –ins, currently 3-5 are in use
- It was discussed that the committee will give out the passwords to the following committees: AAUW, League of Women Voters, Recreation Commission, Municipal Alliance (note taker would like to add Fire Department—they have a committee that is working on their newsletter and a member of the committee works in the IT industry. They are very interested in putting up a site.)
- Policy developed on who gets passwords, how to monitor committees/commission sites
- Workshop/materials for how to work with a web site, the parameters, procedures, a step by step process for uniformity and to head off and potential problems.
- Andy & Gayle will set up sessions, develop any materials or teaching aids in an effort for optimum understanding of how the site works and for easy updating.
- Make government more convenient by automating common interactions with its citizens — could be discussed as a long-term goal. Items such as paying water/tax bills, getting beach/tennis tags and paying with credit card. Consensus of committee was to work on the basics now, get that up and running, with a procedure for regular updating and maintenance before tackling more difficult or time consuming issues such as this.
- Build a sense of community by supporting community organizations — all organizations and materials, members meeting dates. Committee discussed ways that community org. could be responsible for getting their own information on the site and be responsible for maintenance and updating. Web committee would need to discuss over seeing of community org. activities.
- Make Mountain Lakes resident’s more aware of their town’s history, culture and values — HPC, Character committee to play a part in ensuring historical information is included on the site
--Mailing lists developed
- Reduce municipal costs — might be related to #2, less time, less late payments—Possible benefits from Borough government utilizing the site to suit the needs of the residents
Committee needs Borough Employees input. Possible suggestion to add one or two more members
Links need to be checked, Andy to write program
2. Review what we have done so far, assemble a work list, and set near-term goals:
--Andy developed long to-do list for committee to consider working on. Some of the items have been completed. Other items will need to be part of the long-term goals. Committee should look list over and prioritize items for order of importance and bring to next meeting.
3. Define quality measures for the pages we generate: -- the committee did not have chance to discuss. Should put on agenda for next time.
4. Set date and time of next meeting: October 18, 8:00 p.m. Borough Hall
--agenda should include #5—issues, concerns, items for discussion.
6. Next steps:
- Blair to call Gary Webb to inquire about employee link for web committee and to type up meeting notes, e-mail to rest of committee.
- Andy will set up log-ins. Gayle and Andy will help set up meeting for holders of passwords (and possibly for Borough Employees) to teach them web building.
- Gayle to contact Mike and Jason to get status of work done so far and try to get completed work on the site.
- Emily to propose an overall “look” of site for next meeting for discussion.
