Members present:  Former Fire Chief Doug McWilliams; Councilwoman Ellen Emr; Councilman Richard Urankar(chair), Councilman Stephen Shaw; MLPD, Robert Tovo; Planning Board Member, Joan Nix Board of Education Member, Marc Cohen

 

Absent: Historic Preservation Committee member Pat Rusak; Borough Manager, Joe Tempesta

 

      I  Approved Minutes: For meeting held February 19, 2008.

 

II   Public Comment

None

 

      III  Sub-Committee Reviewed of 5 remaining Bids (Stephen Shaw)

            -The Subcommittee (Joan Nix, Pat Rusak and Stephen Shaw) reviewed the 5 remaining architectural bids with the committee and recommended the list be narrowed to three finalists.  The recommendation was based upon conversations the Subcommittee members, the Borough Manager, the Police Chief and the Former Fire Chief conducted with their counterparts at municipalities and/or others who have worked with the respective architectural bidders.  These conversations included questions regarding the respective architects knowledge of municipal buildings, ability to work with the client, delivering the product on time, delivering the product on budget and willingness to incorporate suggestions and/or changes to their plan.  After a comprehensive discussion the list was reduced to three architects.

 

They are:

-         Houghton, Quarty, Warr  Architects

-         arcari + iovino Architects PC

-         Fox Architectural Design PC

 

It was decided that each Architect would be asked to interview with the whole Committee and that prior to those interviews site visits of their work would be visited by interested members of the committee.  March 19th would be the target date with one hour interviews scheduled at 1:00 PM, 2:30 PM and 4:00 PM.  This schedule would allow for thirty minutes between interviews to allow for Committee discussion.  The goal will be for the Committee to select an Architect for hire on the 19th and make a recommendation to the Borough Council at the regularly schedule Council meeting on March 24th.

 

 

 

     IV Review Action Items

 - The Committee asked Borough Manager Joe Tempesta to schedule interviews for March 19th and for site visits prior to the 19th.  Committee members interested in participating in the site visits should contact the Borough Manager.

 

            - Committee members responsible for calling references will continue their follow-up and report to the Committee. 

 

-         After a brief discussion it was decided to send a notification letter to all Architects who applied but were not selected for interviews thanking them for their efforts, inform them of their status in the process and ask them to allow us to contact them in the future if we became interested again in their possible service.  The Committee asked the Manager to draft and send such letter within the next week.

               March 19th, 2008 at 12:30 PM until 6pm (as needed for interviews).
